2. Matters arising from minutes of last general meeting
4. No contact has been made by RGR re retention.
6. Marie Lympany accepted the post of Project Worker, Early Years and is now
in her second week. She has started very enthusiastically.
9. AOB (i) DH advised the meeting that the pool table covering is still to
be organised. Owen Griffiths is still not replying to phone calls. EB is losing
money not being able to charge for pool use. Nets and covering and other parts
of the pool table to be mended
(ii) Coleg Harlech poetry writing course had only one participant
(iv) The party is from 1-4pm
(vii) To be carried forward
(viii) Tony Jones contacted re CMDT equipment; this to be handed back as part
of funding agreement
(xiv) Library to continue for time being.
The minutes were accepted
by the committee as a true account of the meeting of
29th January 2008.
3. The way forward
After six months of
EB opening it was suggested that a financial analysis was appropriate. KB
advised that a shortfall of £40 – 50 per week over 40 weeks (term
times) could result in difficulties in paying for services by September 08.
Monies taken from ASCs, Cylch, YC and CAB are not realistic; however, these
form part of the services/facilities that EB is providing for local residents
and it’s unlikely fees for these can be raised. It was agreed that it
is probable, PJI when open will take some of the “one off” events
that up till now have been held at EB ie Forestry, CC, etc. RR queried cost
of phone bill; as company it is required that business rate is applied. A
funeral tea was held recently and the number of this type of event could be
increased. DH advised that the proposed “drop in” group on Mondays
could generate an income by charging for entrance, refreshments and use of
pool table. BF proposed that a more commercial approach to hiring EB through
marketing could make better use of facilities in vacant times especially on
Saturday/Sunday. It was generally felt by the committee that more volunteers
with fresh ideas and skills should be recruited. It was also agreed that CN
stick to the strongly held ideals for working with young people.
DC suggested that as birthday parties are a regular source of income, wider
advertising of EB’s facilities be made in Llangaffo, Malltraeth and
Dwyran. A list of organisations held on library database to be compiled; these
organisations to be approached informing them of details re EB’s facilities
and equipment for hire/use. KB suggested a Marketing Manager to be appointed
and BF agreed to volunteer.
Action: A meeting to be arranged to discuss ideas for sessions to increase income for Wednesday 19th March 6.00pm at EB.
4. Garden Design
The garden design was approved unanimously. It is felt that the completion of the garden will be the “icing on the cake”! Volunteer time to make up the monies allocated by AONB was discussed and volunteer time sheets were given out for completion by end of April. The first invoice for materials plus volunteer time to be handed over to Evan Milner (AONB) on Wednesday 27th February with monies to be available to CN by mid March. The issue of a shed was discussed; should it be a commercial high security shed or a purpose built one? To be confirmed nearer to completion of garden. Menter Fachwen to be approached re seating.
5. AOB
i. The Police are
encouraging CN to apply for funding via Community Chest
ii. The County Council run Youth group (Thursday) will continue for another
twelve weeks in the summer term if staff can be found.
iii. The “Drop in” group at EB will have volunteers with CRB checks
iv. DC advised that a large quantity of unwanted items from the hospice, such
as games, table-top pool table, and computer trolley could be forwarded to
EB for use with children/young people at no cost. These were accepted with
thanks and collection to be arranged for Friday 29th February.
